Role & Responsibilities

  • Prepare meeting rooms, including setting up, printing, and organizing documents, and checking equipment.
  • Welcome and manage appointments and visitors.
  • Ensure meeting rooms are tidy and available.
  • Coordinate with the IT team for daily technical needs.
  • Process invoices and handle administrative follow-up.
  • Manage expense reports and GIFTY declarations.
  • Archive documents both physically and digitally.
  • Send parcels, gifts, and various orders.
  • Coordinate with the boutique and packaging service.
  • Manage lists for gifts, supplies, and contacts.
  • Order flowers, supplies, and other necessary office items.

  • Strong sense of confidentiality and discretion.
  • Excellent presentation and verbal communication skills.
  • Service-oriented with initiative and prioritization skills.
  • Highly organized, reliable, and detail-oriented.
  • Ability to work independently while communicating effectively.

Skills

Microsoft Office Suite (Word, Excel, PowerPoint) Fluent English (spoken and written)

Experience

Experience in administrative support or a related field is preferred.

Education

Education in executive assistance, hospitality, administrative management, or equivalent.
