Role & Responsibilities

  • Provide high‑level administrative support to the Executive Committee, including complex diary and calendar management across time zones.
  • Prepare and distribute meeting materials, board/committee packs, agendas and minutes; follow up on actions to ensure timely progress.
  • Coordinate and book international travel, accommodation and logistics for senior executives, including bespoke arrangements and itineraries.
  • Act as primary gatekeeper and point of contact for internal and external stakeholders, managing confidential correspondence and prioritising requests.
  • Drive and coordinate cross‑functional projects on behalf of the Executive Committee, liaising with senior stakeholders to ensure delivery.
  • Manage expense reporting, budget tracking for executive activities and organise high‑profile events and executive meetings.

Qualifications

  • Proven ability to handle confidential information with discretion and professional integrity.
  • Exceptional written and verbal communication skills; able to draft executive-level correspondence and briefing notes.
  • Outstanding organisational skills with demonstrable ability to prioritise competing demands and deliver under pressure.
  • Proactive problem‑solver with strong attention to detail and a polished client- and stakeholder‑facing manner.
  • Strong IT literacy with demonstrable experience using calendar and collaboration tools.

Experience

Typically 5+ years' experience supporting senior executives or an executive/board‑level committee, preferably in retail, luxury goods, professional services or a fast‑moving corporate environment. Proven track record of managing complex diaries, preparing board/committee materials and coordinating cross‑functional projects.

Education

Bachelor's degree preferred or equivalent professional experience in administration or business support.
