Boutique Administrator
Van Cleef & Arpels — New York seeks a Boutique Administrator to manage store administration, inventory control and client records.

Role & Responsibilities
- Provide day-to-day administrative and operational support to the New York boutique, including correspondence, filing and documentation management.
- Oversee inventory control and stock reconciliation, coordinate cyclical audits and liaise with logistics for deliveries and returns.
- Prepare and process vendor invoices, purchase orders and expense reports; reconcile petty cash and daily cash reports with accuracy and confidentiality.
- Maintain and update client files and CRM records; support clienteling activities and coordinate VIP appointment scheduling with sales staff.
- Coordinate scheduling, onboarding paperwork and administrative HR tasks with regional HR and store leadership.
- Produce regular operational and financial reports for the boutique manager and regional office; escalate discrepancies and propose corrective actions.
- Act as primary local liaison with corporate teams (finance, HR, visual merchandising, security) to ensure boutique compliance with company policies and standards.
- Support visual merchandising and event logistics as required, including preparation for trunk shows and private client viewings.
Qualifications
- Proven discretion and ability to handle confidential information related to high-value clients and transactions.
- Excellent organizational skills with meticulous attention to detail and strong numerical accuracy.
- Professional verbal and written communication skills; ability to interact with a diverse, high-net-worth clientele.
- Demonstrated competence with Microsoft Office (Excel, Outlook) and comfort using CRM and POS systems.
- Strong problem-solving skills and the capacity to prioritise competing demands in a fast-paced luxury retail environment.
Skills
Experience
Ideally 3+ years of administrative or operations experience within luxury retail, hospitality, or a client-facing environment; prior exposure to high-value merchandise and boutique workflows is highly desirable.
Education
High school diploma required; associate degree or bachelor’s degree in business administration, hospitality, or a related field preferred, or equivalent professional experience.
