Role & Responsibilities

  • Provide day-to-day administrative and operational support to the New York boutique, including correspondence, filing and documentation management.
  • Oversee inventory control and stock reconciliation, coordinate cyclical audits and liaise with logistics for deliveries and returns.
  • Prepare and process vendor invoices, purchase orders and expense reports; reconcile petty cash and daily cash reports with accuracy and confidentiality.
  • Maintain and update client files and CRM records; support clienteling activities and coordinate VIP appointment scheduling with sales staff.
  • Coordinate scheduling, onboarding paperwork and administrative HR tasks with regional HR and store leadership.
  • Produce regular operational and financial reports for the boutique manager and regional office; escalate discrepancies and propose corrective actions.
  • Act as primary local liaison with corporate teams (finance, HR, visual merchandising, security) to ensure boutique compliance with company policies and standards.
  • Support visual merchandising and event logistics as required, including preparation for trunk shows and private client viewings.

Qualifications

  • Proven discretion and ability to handle confidential information related to high-value clients and transactions.
  • Excellent organizational skills with meticulous attention to detail and strong numerical accuracy.
  • Professional verbal and written communication skills; ability to interact with a diverse, high-net-worth clientele.
  • Demonstrated competence with Microsoft Office (Excel, Outlook) and comfort using CRM and POS systems.
  • Strong problem-solving skills and the capacity to prioritise competing demands in a fast-paced luxury retail environment.

Experience

Education

High school diploma required; associate degree or bachelor’s degree in business administration, hospitality, or a related field preferred, or equivalent professional experience.
