Role & Responsibilities

  • Provide high-level administrative support to the Vice President, including strategic calendar management and comprehensive travel arrangements.
  • Support consultant setup and management, including invoicing and vendor meetings.
  • Manage expense reports, departmental invoices, and reconcile capital expenditure requests.
  • Create and compile detailed Excel and PowerPoint presentations for leadership meetings.
  • Coordinate meeting preparation, including scheduling, drafting agendas, and compiling materials.
  • Facilitate effective communication and collaboration across departments and stakeholders.
  • Track departmental vacation schedules and coordinate time-sheets.
  • Manage office supplies and coordinate deliveries and shared materials across departments.
  • Submit and follow-up on IT and facilities requests for the team.

Qualifications

  • Prior administrative experience with exceptional interpersonal skills.
  • At least 2+ years of experience supporting senior level executives in a fast-paced environment.
  • Proven mastery in Microsoft Office Applications, particularly PowerPoint and Excel.
  • Deadline-driven, flexible, and highly organized with strong problem-solving skills.
  • Ability to operate with discretion and resolve problems independently.

Experience
