VIP and Talent Coordinator
Prada Group seeks a VIP and Talent Coordinator in London to manage celebrity logistics, sample tracking and VIP relations for events and shows.

Role & Responsibilities
- Manage end-to-end VIP and talent logistics for the London office, including travel, itineraries, red carpet support and event hospitality.
- Coordinate movement, allocation and return of PR and dressing samples across boutiques and international offices; maintain and update sample trackers.
- Act as the London point of contact for VIP requests in the absence of the VIP & Talent Manager, including sourcing, booking, store pulls, couriering and dressing coordination.
- Liaise with Milan headquarters by preparing and submitting monthly and annual reports on VIP activity, gifting and sample status.
- Organise celebrity fittings, arrange tailoring and messengers, and communicate technical fit and delivery details to relevant teams.
- Execute celebrity gifting initiatives regionally: maintain lists, manage product allocation and coordinate delivery and shipping.
- Support supplier and talent relationships by coordinating contracts, agreements and invoice processing; assist with VIP and Talent budget tracking.
- Develop and maintain databases, trackers and systems (allowance, press sample and event trackers) to ensure accurate and timely records.
- Network with entertainment editors and media contacts to support publicity and product placements; research emerging talent for consideration.
Qualifications
- Proven ability to work with high‑profile clients and maintain strict discretion and professionalism.
- Excellent organisational skills with meticulous attention to detail and strong prioritisation capabilities under pressure.
- Advanced proficiency in Excel and PowerPoint for reporting and presentation purposes.
- Comfort with logistics and event coordination, including travel arrangements and courier/shipping processes.
- Strong interpersonal and communication skills for cross‑functional liaison with boutiques, PR, styling teams and headquarters.
- Willingness to travel and to work flexibly around events and show schedules.
Skills
Experience
Practical experience coordinating VIPs, talent or celebrity dressing within luxury retail, PR or events environments; experience with sample management, gifting programmes and cross‑border logistics is expected. Experience liaising with headquarters or regional offices and producing regular activity reports is desirable.
Education
Higher education in communications, fashion, marketing or a related discipline preferred; equivalent practical experience in luxury operations or PR will be accepted.
