Role & Responsibilities
- Provide high-level administrative support to the President and CEO, ensuring efficiency and seamless operations.
- Manage complex calendars, scheduling meetings and conference calls across multiple time zones.
- Prepare and support internal and external meetings, including guest coordination and logistics.
- Handle confidential correspondence and sensitive information with discretion.
- Organize comprehensive domestic and international travel arrangements, including flights, accommodations, and meeting schedules.
- Manage monthly expense reports and review expense claims submitted by direct reports.
- Oversee corporate card reporting and communication.
- Prepare business documentation, including presentations, meeting agendas, and travel itineraries.
- Complete weekly and monthly retail reporting for stores and client advisor performance.
- Collaborate with PR, CRM, Merchandising, HR, and Finance teams to provide necessary support.
- Oversee daily office operations, maintaining supplies and facilities, and ensuring a professional environment.
- Coordinate monthly office events, team meetings, and functions, including logistics and catering.
- Manage office budget and expenses, ensuring alignment with company policies.
- Serve as the main point of contact for building management and office service providers.
Qualifications
- 5–10 years of experience as an Executive Assistant, with at least 4 years supporting a President/CEO in a multinational company, preferably in the luxury industry.
- 3+ years of Office Management experience demonstrating strong organizational capabilities.
