Role & Responsibilities

  • Assist the Operations Coordinator with administrative and budgetary tracking for the Store Operations department.
  • Support new suppliers in creating their accounts on the digital procurement management platform.
  • Centralize all necessary administrative documents from suppliers.
  • Coordinate internal order requirements for specific Store Operations divisions.
  • Create and monitor purchase orders in the internal software, including creation, receipt, and invoicing follow-up with the accounting department for specific Store Operations divisions.
  • Manage supplier claims related to purchase orders and invoicing disputes for certain Store Operations divisions.
  • Update the order tracking table, including delivery dates and amounts.
  • Archive quotes, contracts, and all relevant legal documents.
  • Provide support during monthly expense closings for the Store Operations department.
  • Offer assistance in administrative and budgetary tracking for the Store Operations department in emergencies.

Skills

Proficiency in clear and concise writing and expression in both French and English. Mastery of Microsoft Office Suite (Excel, Word). Fluent in English (spoken and written). Knowledge of accounting and budgeting processes, with experience in administrative or financial assistance considered an advantage. Attention to detail and perseverance. Organizational skills. Interpersonal skills and team spirit. Ability to manage stress and priorities. Aptitude for working under tight deadlines.

Experience

Beginner level experience is required, with any additional experience in administrative or financial assistance being advantageous.
