Role & Responsibilities

  • Calculate Net Requirements for stones and manage stone shipment needs to workshops.
  • Create and track orders in the M3 system, ensuring timely follow-up with suppliers.
  • Conduct thorough checks on received goods against invoices, verifying each diamond's weight, color, clarity, and certificate number.
  • Process receptions in M3 (PPS200 + PPS300) and manage label printing and application.
  • Close original purchase orders and update tracking spreadsheets.
  • Integrate invoices and PPS300 into Docuware and retrieve SARINE PDF certificates for CEGID.
  • Address quality non-conformities with suppliers and manage M3 returns and transfers.
  • Prepare sealed packages and tracking tools for returns and deposits in Docuware.
  • Prepare stones for shipment, including physical preparation and M3 file management.
  • Coordinate with workshops via email, providing proforma invoices and shipping tables.
  • Manage after-sales service by sending diamonds to the service department and updating tracking tools.
  • Prepare inventories and monthly stone reports, handling certificate losses and stone inversions.
  • Manage broken stones, order cancellations, and M3 modifications for quick mounting.
  • Monitor and rectify anomalies in M3 and communicate stone purchase analyses to other departments.

Qualifications

  • Training in gemology.

Skills

Proficiency in Excel and Word. Mastery of the M3 system.

Experience

Experience in a similar role within the luxury jewelry industry is preferred.
